About the Career Center

The Career Center includes the Career Operations Team, which includes event planning, administrative support, and IT; the Undergraduate Career Education Team, which provides resources to undergraduate students to support their searches for full-time employment after graduation, such as help with the exploration, selection, and pursuit of meaningful careers; career counseling; resume writing interview tips, etc. and the Employer Connections team, which leads the effort to grow and maintain the elite brand and the diverse set of employers engaging the Georgia Tech campus. The center also shares responsibility (dotted line reporting) with and provides operational support to the Undergraduate cooperative education (Co-op) and Internship programs (with the Office of Experiential and Engaged Learning) and the Graduate Career Services and Internship Programs (with Graduate and Postdoctoral Education).

Other Variables

Reporting to the Assistant Director of Business Operations in the Office of the Vice Provost for Undergraduate Education, this position will primarily support administrative operations in the Career Center. In addition to the duties noted above, the focus of this role includes (but is not limited to): administrative policies and procedures, HR processes and transactions; facilities coordination for Career Center Units; student employment processes and policies; travel and professional development processes and policies; IT management; and other operational support as assigned. The position oversees the day-to-day operational management of OUE's Career Center including supervising front desk personnel and providing assistance when needed for students and others who interact with our offices as well as staffing and ensuring converge during all GT business hours. The position will also be part of OUE's administrative team and will provide operational and administrative support across OUE, as needed.

The ideal candidate must be an exceptionally detail-oriented individual with outstanding organizational skills to manage and prioritize a complex workload; possess an advanced understanding of administrative and operational processes and functions; have strong oral and written communication skills; have proactive decision-making and problem-solving skills to respond to high-pressure situations and competing priorities; and have excellent customer service skills, working positively and productively with all levels of internal and external faculty, staff, students, and administrators, as well as employers. The person must be a proven manager, able to work both independently as well as be able to cultivate a strong team environment.

Note on Working Time

This position must be available to work standard GT business hours M-F, 8-5 (or 7-4 or 9-6), as well as some evenings as weekends based on student programs and with advanced notice. The first 3-6 months of employment are fully in-person/on site. Following this, some telecommuting will be available in accordance with OUE's guidelines. Job Summary

Supervise and coordinate administrative services within a large campus unit. Areas of responsibility can include administrative affairs associated with human resources, purchasing, budgets and financial records and general clerical support within the unit. Responsible for setting employee goals, assessing employee performance, providing feedback, and making pay recommendations. This position will interact on a consistent basis with: unit management and staff. This position typically will advise and counsel: unit management and staff. This position will supervise: assigned unit administrative personnel.

Responsibilities

Job Duty 1 -
Develop and implement unit administrative processes and procedures consistent with overall Institute administrative policy

Job Duty 2 -
Define and communicate administrative staff duties; monitor performance and provide feedback

Job Duty 3 -
Supervise the maintenance of unit financial records

Job Duty 4 -
Oversee unit human resources administration, including transaction processing, time reporting and records maintenance

Job Duty 5 -
Supervise and coordinate direct administrative support to unit management

Job Duty 6 -
Organize and supervise unit records management function

Job Duty 7 -
Coordinate unit purchasing activities including preparation of purchasing documents, ordering and maintaining supplies, etc.

Required Qualifications

Educational Requirements
Bachelor's Degree in Business Administration or related field or equivalent combination of education and experience

Required Experience
Six to eight years of job related experience

Preferred Qualifications

Preferred Education:

  • Master's degree in business administration, Higher Education Administration, Leadership Development, or a related field strongly preferred

Preferred Qualifications/Skills:

  • Event planning experience
  • Outstanding organizational skills and ability to prioritize and multi-task in a fast-paced environment
  • Professional experience in a research university setting
  • Advanced MS Office knowledge and skills: Spreadsheeting, Power Point, Document Management
  • Experience with HR functions (e.g. hiring, onboarding) and HR systems/software, OneUSG Preferred

Knowledge, Skills, & Abilities

SKILLS
This position requires supervisory and organization skills, knowledge of general office administrative processes and practices, records management and event planning. Use of office related computer applications is required.
